Less chasing. More advising.
Accounting and bookkeeping practices run on documents, deadlines and repeated requests. Much of the lost time goes to asking clients for the same items, filing what arrives, and keeping track of who owes what.
Where the hours go
- Asking clients for missing slips, statements and receipts, again
- Saving attachments from email into the right client folder
- Setting up each new client the same way, by hand
- Writing the same reminders before every deadline
What stays with a person
A person prepares and reviews returns, decides tax positions, answers client questions and signs off. Automation can handle the asking, the filing and the reminding. It never decides anything about tax or a client's records.
What I would automate first
Document chasing
A checklist per client, one clear request, automatic reminders, and files saved to the right folder. Your team will be told when the file is complete.
Client onboarding
A new client fills in one form. Folders, checklists and a welcome message will be created for you.
Email and files, filed
Client emails and attachments will be logged against the client record so anyone on the team can see the conversation.
Engagement letters and invoices
Documents drafted from your own templates for a person to review and send, with payment follow-ups handled automatically.
Built on your tools
Most firms like yours already use Microsoft 365 or Google Workspace, plus an accounting, practice or project tool. I work with what you have. I use an open workflow tool, n8n, running on your own server or instance, to connect them. Where AI helps, I use the AI service your firm already has access to, or one that fits your data policy.
Care with client information
Client financial information is highly confidential. I use the minimum access needed, keep data inside your agreed systems, and follow applicable Canadian privacy law. Check your professional body's guidance on AI and client data as well.
Start with an assessment.
A fixed-price, two-week look at how your firm works, ending with a written, prioritized plan. The price is $2,000 CAD, credited toward a build.
