Keep projects moving without the admin drag.
Engineering, architecture and design studios juggle many projects, many files and many people. Time slips away in coordinating files, people and projects, not in the design or engineering work itself.
Where the hours go
- Setting up every new project folder and checklist by hand
- Naming and filing drawings, emails and reports consistently
- Rewriting proposals from an old one
- Collecting timesheets and chasing project status
What stays with a person
Engineers and designers make every professional judgment. Automation can draft, file and remind. It never signs, stamps or approves anything.
What I would automate first
Project setup
One form will create the folder structure, checklist, team notifications and client record for a new project.
File organization
Incoming email attachments and shared files are named and filed consistently, so you can find them later.
Proposals from templates
First drafts assembled from your own proposal templates and past scope language, for you to edit and send.
Status and invoicing
Regular project status summaries and draft invoices from your own records, reviewed before they go out.
Built on your tools
Most firms like yours already use Microsoft 365 or Google Workspace, plus an accounting, practice or project tool. I work with what you have. I use an open workflow tool, n8n, running on your own server or instance, to connect them. Where AI helps, I use the AI service your firm already has access to, or one that fits your data policy.
Care with client information
Project files are valuable and sometimes sensitive. I use minimum access, keep files in your own systems, and log automated actions so you can see what happened.
